Did you know that Google Forms, Slides, Drawings, Docs, and Sheets all offer notification features? Here's how you can set them up for each tool:
Google Forms
- Open a form or quiz.
- Click the Responses tab.
- Click the More (three dots) icon.
- Select Get email notifications for new responses.
Google Docs
In Google Docs, you can manage notifications for both comments and edits.
- Open a document.
- Go to Tools > Notification settings.
Manage notifications for comments:
- All comments: Be notified about every new comment.
- Comments for you: Get notifications for @mentions or comment threads you're involved in.
- None: Disable all comment notifications for that file.
Manage notifications for edits:
- Added or removed content: Receive notifications whenever content is changed.
- None: Turn off notifications for edits.
Tips:
- You won’t get notifications for changes you make yourself but will be alerted when others edit the document.
- You can update notification settings directly from email alerts by clicking Notification settings in the email and adjusting preferences for that file.
- For large documents with many edits, email notifications may not capture every change. Open the document to view all updates.
Google Slides and Drawings
You can manage notifications for comments just like in Google Docs.
- Open your presentation or drawing.
- Go to Tools > Notification settings.
Manage notifications for comments:
- All comments: Be notified about every new comment.
- Comments for you: Get notifications for @mentions or comment threads you're part of.
- None: Disable comment notifications for that file.
Tip:
- Like Google Docs, you can change your settings directly from email notifications by clicking Notification settings in the email and updating your preferences.
Google Sheets
Google Sheets offers the most robust notification options.
- Open a spreadsheet in Google Sheets.
- At the top, click Tools > Notification settings > Edit notifications.
Choose when you want to receive notifications:
- Any changes are made: Be notified when someone modifies the spreadsheet.
- A user submits a form: Receive alerts when a form linked to the sheet is submitted.
Choose how often you want to receive notifications:
- Email – daily digest: Receive a daily summary of changes.
- Email – right away: Get an email for every change as it happens.
Once you've customized your settings, click Save.
And for all those more advanced Sheets users out there, here's Cory's favorite, Conditional Notifications!
With conditional notifications, you can:
- send notifications to others
- create rules to send email notifications when a cell changes in Google Sheets.
- select which cell value changes trigger these notifications.
- select which email addresses will receive a notification.
The notification will be sent on the behalf of the user who set up or last edited the rule.
